Through an extensive series of focus groups with meeting planners just like you, coupled with ongoing interaction with our highly valued customers, Gaylord Hotels has developed a new program to help you control your costs and still get what you need for a successful meeting.

If you're meeting in 2009 or 2010, you need Total Meeting Pricing. This new program bundles key services to give you an inclusive meeting package that covers most of your ancillary costs, such as audio/visual, IT, meeting space and rigging. Plus, you get our best available room rate, and flexible Food & Beverage options.

1. An inclusive meeting price that covers most of the ancillary costs of executing a meeting

We'll help you determine your audio/visual, rigging, IT/Telecom, electricity, meeting/exhibit space, self-parking, transportation and security needs, then give you a bundled up-front price. Eliminating back-end cost surprises helps you maintain control of your meeting budget.

 

2. Food & Beverage FlexChoice

TMP now gives you the choice of how to best pre-plan your catered meal program. If you are able to commit to the Food & Beverage events at the time of contract, we will lock in those catered functions at a preferred price. For those events where you choose not to determine Food & Beverage selections up front, then no Food & Beverage minimums will apply.

One Partner™ Program

We don't look at your meeting with us as a one-time affair. We look forward to working together with you now and in the future. In that spirit of partnership, we're introducing the One Partner program to offer flexibility for your immediate meeting needs, as well as additional security for the future.

  • If you book new meetings in 2009 and 2010, you will receive a credit equal to 10% of the actualized cost of that meeting (master + room revenue + resort fee) to offset the cost of any attrition for that meeting or to be used for another meeting booked and actualized by the end of 2011. One Partner credits can be used for up to 50% of the value of the future meeting. Terms and conditions apply.**
  • If you have an existing meeting on the books for 2009 or 2010, you can unlock the One Partner credit benefits for that meeting by booking another meeting of at least 25% of the value of the currently signed meeting. Earned credits will be equal to 10% of the actualized costs of the existing and new meetings (master + room revenue + resort fee) to create a One Partner credit bank for future meetings booked and actualized by the end of 2011. One Partner credits can be used for up to 50% of the value of the future meeting. Terms and conditions apply.**

The Total Meeting Pricing (TMP) and One Partner (OP) program benefits are available and accorded only to new meeting bookings made and actualized in 2009 or 2010. Total Meeting Pricing and One Partner offers cannot be combined with any other special offer, discounts, concessions or programs. Gaylord Hotels reserves the right to change Total Meeting Pricing or One Partner terms and conditions, earnings or redemption requirements without notice. Any One Partner credits earned if a program change is announced remain valid and will be honored through the end of 2011.

*Total Meeting Pricing program pricing is based on a selection of service offerings balanced to your meeting size and usage needs, and require the use of Gaylord Hotels' preferred vendor partners. Base packages on the Food and Beverage FlexChoice and ancillary items (audio/visual, rigging, IT/telecom, meeting/exhibit space, self-parking, transportation and security) can be upgraded via à la carte pricing available at competitive market rates.

**Clients with no confirmed 2009 or 2010 meetings on the books: One Partner program meeting credits are earned at the rate of 10% of the value of the actualized cost of a new meeting contract for 2009 or 2010 (master + room revenue + resort fee) exclusive of applicable taxes and service charges. Credits can be applied once the meeting earning the credit is actualized; credits cannot be used for any past actualized meeting contract already concluded and settled. One Partner credits can be used for up to 50% of the value of any future meeting actualized by the end of 2011 or to off-set any attrition of the new meeting earning the credits.
Clients with already confirmed 2009 or 2010 meetings on the books: Clients that have a meeting with a signed contract with Gaylord for 2009 or 2010 that pre-dates One Partner and that has not yet actualized can unlock the program's credit benefits for the existing meeting by booking another meeting in 2009 or 2010 of at least 25% of the value of the currently signed meeting. Credits earned off of existing and new meetings in 2009 or 2010 are placed in a One Partner credit bank to be used on future meetings actualized by the end of 2011. Credits can be applied once the meeting earning the credit is actualized; credits cannot be used for any past actualized meeting contract already concluded and settled. One Partner credits can be used for up to 50% of the value of any future meeting actualized by the end of 2011. If a meeting booked to unlock credits cancels, then the credits are cancelled too.
The use of meeting credits against future meetings in 2009, 2010 or 2011 will be subject to meeting space and room accommodation availability; certain black-out dates may apply and certain high-yield dates will preclude placement of creditable meetings over some dates. In the event that a meeting cancels, One Partner meeting credits must be applied to the cancellation settlement first, followed by any applicable room resale credits governed by the meeting contract. One Partner meeting credits do not carry any cash value and none will be accorded for any unused credits. All unused credits expire at midnight on December 31, 2011.
